ABOUT THE ROLE:

Under supervision of the Administrative Supervisor or State’s Attorney, perform duties related to legal secretary responsibilities, general clerical work and receptionist duties to include answering telephones, typing correspondence, greeting and directing the public, and work closely with Law Enforcement and other county agencies.


RESPONSIBILITIES:

  1. Perform receptionist duties of answering telephone, transferring calls, taking and delivering messages. 
  2. Provide general clerical assistance to the staff including typing correspondence, filing, and other office duties.
  3. Responsible for performing legal secretary work assisting members of the Burleigh County legal staff.

ESSENTIAL JOB DUTIES:

  • Receive and refer telephone calls, assist members of the public.
  • Reads, researches, reviews verifies, and routes correspondence, reports, faxes and legal documents.
  • Monitor incoming emails in shared Outlook mailboxes.
  • Drafts, revises, and edits letter and other written documents.
  • Input new case files and citations, gather supporting documents, enter fingerprinting automated dispositions.
  • Monitor evidence-gathering; and anticipating changes in litigation or transaction preparation requirements.
  • Maintain attorney calendar by recording and monitoring court appearance dates, pleadings, and filing requirements.
  • Monitor and order office supplies.
  • Process witness reimbursement forms.
  • Assists and support attorneys and paralegals with their work as needed.
  • Act as backup File Clerk/Legal Secretary in their absence.
  • Perform other duties as required and/or assigned. 

ACCOUNTABILITIES:

  1. Ensure all schedules, documentation and necessary reports are in order to assist legal staff.
  2. Create a positive and productive work atmosphere by communicating, maintaining a professional manner and a team-like environment with all other departments, employees, and members of the public.
  3. Ability to apply appropriate guidelines, either specific or general, to appropriate duty.

Requirements

  1. One (1) year of experience in performing office activities and/or an associate degree with emphasis in the legal field preferred, or an equivalent combination of education and experience.
  2. Must be proficient with word processing software such as WordPerfect and/or MS Word and possess excellent typing skills.
  3. Knowledge of appropriate legal terminology, legal forms, and legal files preferred.
  4. Requires a high degree of written and/or verbal communication skills dealing with employees, clients, and the general public.
  5. Ability to handle multiple duties and priorities under limited supervision.
  6. Applicant will be subject to a post offer civil and criminal background check.
  7. Candidates must already be authorized to work in the United States on a permanent basis. Visa sponsorship is not available for this role.
