Core Values Confidentiality • Quality • Teamwork • Trust • Respect Position Overview The Patient Access Specialist serves as the first point of contact for patients, families, physicians, and visitors, helping create a welcoming and positive experience throughout the surgical journey. This role is responsible for patient registration, scheduling support, medical record management, communication coordination, and front desk operations within a fast-paced ambulatory surgery environment. Duties and Responsibilities: Patient & Visitor Experience Greet patients and family members in a professional and welcoming manner Verify and obtain accurate demographic and insurance information Ensure patients and families receive information regarding surgical/pain procedures and other concerns Maintain the coffee bar, waiting room, and waiting room restroom areas for patients and visitors Assist visitors, patients, physicians, and staff while demonstrating excellent guest relations Communication & Coordination Maintain and manage the multi-line phone switchboard Act as a liaison between the recovery room, operating rooms, and waiting room Communicate professionally and efficiently with patients, families, physicians, and staff Distribute incoming and outgoing mail Registration, Documentation & Medical Records Complete patient registration and obtain required patient/guardian signatures Create accurate chart labels and patient identification bands Perform data entry into the medical record system Scan and maintain medical records and internal clerical/clinical documents Participate in chart preparation while ensuring confidentiality and accuracy Verify completeness and filing of all patient medical records Ensure all required documentation is entered into the electronic system for future reference Ensure physicians dictate and sign operative notes following procedures; follow up directly with physicians regarding missing information Copy and email surgeons’ and assistants’ transcribed reports as required Financial & Administrative Responsibilities Receive patient payments and process cash, check, and credit card transactions according to policy Order supplies for the organization as needed Quality, Safety & Compliance Maintain patient confidentiality at all times Perform efficiently and appropriately during emergencies Teamwork & Flexibility Prioritize responsibilities to support efficient operations and quality patient care Demonstrate flexibility to meet the needs of the Surgery Center Support a positive, team-oriented work environment Perform other duties as assigned Physical Requirements: While performing the duties of this job, the employee is regularly required to stand; use hands to finger, handle, or feel; reach with hands and arms; and talk or hear.
