About the Role
About the Role
We are seeking a highly organized and detail-oriented Human Resources and Payroll Assistant to join our Human Resources team. This position will provide administrative and operational support for payroll across multiple companies while also assisting with employee onboarding, HR administration, and employee record management.
The ideal candidate will have strong attention to detail, excellent organizational skills, and an interest in both payroll and human resources. This person should be comfortable handling confidential employee information, managing multiple priorities, meeting payroll deadlines, and working closely with employees, managers, and the HR team.
Key Responsibilities
Payroll Administration
- Assist with the accurate and timely processing of payroll for employees across multiple companies/entities.
- Collect, enter, and verify payroll information, including hours worked, salaries, bonuses, commissions, deductions, benefits, and other adjustments.
- Review payroll information for accuracy and identify missing or incorrect information prior to payroll processing.
- Assist with payroll reconciliations and maintain accurate payroll records.
- Assist with payroll tax filings, payments, and year-end reporting as directed.
- Work with payroll providers, accountants, benefits providers, and other external partners as needed.
- Respond to employee payroll questions and assist with resolving payroll discrepancies.
- Maintain strict confidentiality of payroll and employee information.
- Assist with payroll audits, reporting, and other payroll-related projects.
- Help identify opportunities to improve payroll processes, organization, and accuracy.
Employee Onboarding
- Assist with the onboarding process for new employees after the recruitment process is completed.
- Prepare and maintain new-hire documentation, employment agreements, tax forms, and personnel files.
- Assist with coordinating new-hire orientation and ensuring employees receive required information, policies, and resources.
- Track onboarding requirements and ensure required paperwork is completed accurately and on time.
- Coordinate with hiring managers and department leaders to support a smooth onboarding experience.
- Maintain accurate employee records within HRIS and other HR systems.
- Assist new employees with general onboarding questions and administrative needs.
- Help ensure new employees have the necessary information and resources to successfully begin their employment.
Human Resources Administration
- Maintain accurate and confidential employee personnel records.
- Assist with employee changes, transfers, promotions, terminations, and other employment-related administrative processes.
- Assist with benefits administration and employee enrollment activities.
- Maintain employee information and ensure records remain accurate and up to date.
- Assist with HR forms, documents, policies, and procedures.
- Support the HR team with employee communications and general administrative needs.
- Assist with preparing HR and payroll reports for management as needed.
- Assist with audits and requests for employee or payroll information.
- Help ensure HR processes and documentation are completed accurately and on time.
- Assist with additional HR projects and administrative responsibilities as the company grows.
General Administrative Support
- Provide administrative support to the HR and payroll functions as needed.
- Organize and maintain confidential electronic and physical employee files.
- Assist with scheduling meetings, orientations, and other HR-related activities.
- Communicate professionally and promptly with employees, managers, and external partners.
- Support the HR team with special projects and process improvement initiatives.
- Perform other duties and responsibilities as assigned.
Qualifications
- 1–2 years of experience in payroll, human resources, accounting, administration, or a related field preferred.
- Previous payroll or payroll-support experience preferred.
- Experience with HRIS, payroll, or timekeeping systems is a plus.
- Strong attention to detail and commitment to accuracy.
- Excellent organizational and time-management skills.
- Ability to manage multiple priorities and meet strict payroll deadlines.
- Strong administrative, data-entry, and recordkeeping skills.
- Ability to handle confidential employee and payroll information with professionalism and discretion.
- Strong written and verbal communication skills.
- Ability to work independently while also collaborating effectively with employees, managers, and the HR team.
- Willingness to learn payroll processes, HR procedures, systems, and applicable regulations.
- Proficiency with Microsoft Office, particularly Excel, preferred.
- Strong problem-solving skills and the ability to exercise good judgment when handling employee and payroll information.
