The Administrative Assistant IV provides high-level confidential, and comprehensive administrative support to senior leadership within the Air Force Space and Intelligence business unit within the DAJM Market. The individual in this role manages complex and dynamic executive needs, supports organizational priorities, and ensures seamless coordination across leadership, program managers, and cross functional teams.
Key Responsibilities
Manage complex executive calendars, schedule meetings, coordinate multi-party engagements, and proactively resolve conflicts. Plan, coordinate, and execute domestic and international travel, including itineraries, logistics, expense reconciliation, and compliance with corporate and DoD policies. Organize executive offsites, leadership forums, team events, and special projects, including venue coordination, agendas, logistics, and documentation. Draft, proof, compile, and maintain executive level reports and presentations, and correspondence, ensuring accuracy and professionalism. Support interactions with program managers and other internal stakeholders; gather, validate, and distribute sensitive information related to ongoing initiatives and deliverables. Manage administrative workflows such as ordering office supplies, arranging swag and branded materials for events, processing requests, maintaining shared resources, and coordinating distribution activities. Take and transcribe meeting minutes, ensuring timely dissemination and follow up on action items. Handle incoming inquiries from internal and external partners, providing information, routing requests, and representing the executive office with professionalism and discretion. Conduct research, compile data, and prepare summaries or briefings as required for leadership decision making. Perform routine and non-routine administrative tasks independently, often without established procedures, demonstrating sound judgment and initiative.
Qualifications
TYPICAL EDUCATION AND EXPERIENCE: Bachelors and nine (9) years or more experience; Masters and seven (7) years or more experience; PhD or JD and four (4) years or more experience. Experience may be substituted in lieu of degree.
