Position SummaryÂ
The Petroleum Heavy Maintenance Manager is responsible for managing the day-to-day operations of the Heavy Maintenance team within an assigned area while supporting the goals, strategies, and direction established by the Regional Heavy Maintenance Manager. This position provides direct leadership to Heavy Maintenance supervisors, foremen, technicians, and field personnel and is responsible for ensuring work is properly planned, scheduled, staffed, executed, and completed safely, efficiently, and to company quality standards. The Petroleum Heavy Maintenance Manager serves as a key connection between the field, customers, project management, estimating, operations, and the Regional Heavy Maintenance Manager. This individual will provide strong field leadership, develop personnel, resolve operational issues, support customer relationships, and identify opportunities to expand Heavy Maintenance services. The ideal candidate is a hands-on petroleum industry leader with strong technical knowledge, organizational skills, and the ability to lead field personnel while maintaining a strong focus on safety, quality, productivity, and customer satisfaction.
Key Responsibilities
Operations & Field Management • Manage the day-to-day Heavy Maintenance operations within the assigned area in accordance with regional goals, processes, and expectations. • Plan, coordinate, and oversee Heavy Maintenance work from initial assignment through completion. • Ensure projects and service work are completed safely, on schedule, within budget, and in accordance with company quality standards. • Coordinate manpower, equipment, materials, subcontractors, and other resources necessary to successfully complete projects. • Monitor field productivity, labor utilization, job progress, and overall operational performance. • Identify operational issues early and implement corrective actions in coordination with the Regional Heavy Maintenance Manager. • Conduct regular field visits to monitor project progress, workmanship, safety, and personnel performance. • Provide technical and operational support to field personnel when challenges arise. • Assist with troubleshooting difficult petroleum equipment, fueling system, containment, compliance, and maintenance issues. • Ensure field personnel have the proper tools, equipment, materials, information, and training necessary to perform their work. • Maintain clear communication between field personnel, customers, project management, estimating, and regional leadership.Â
Safety, Compliance & Quality
Establish and maintain a strong culture of safety and accountability within the Heavy Maintenance team. • Ensure all work is performed in accordance with company safety policies and applicable federal, state, local, environmental, and petroleum industry requirements. • Hold employees and subcontractors accountable for safe work practices, proper PPE, and compliance with company procedures. • Identify unsafe conditions and stop work when necessary to protect employees, customers, and the company. • Support investigations and corrective actions related to safety incidents, quality issues, and customer concerns. • Ensure required inspections, testing, documentation, and closeout requirements are completed accurately. • Maintain a high standard of workmanship and ensure deficiencies are identified and corrected promptly. • Support compliance with applicable UST, SPCC, EPA, environmental, and petroleum equipment requirements.Â
Personnel Leadership & Development
Directly lead, coach, mentor, and develop Heavy Maintenance supervisors, foremen, technicians, and field personnel. • Establish clear performance expectations related to safety, quality, productivity, attendance, communication, and customer service. • Monitor employee performance and address performance issues promptly and consistently. • Identify training and development opportunities for field personnel. • Assist with recruiting, interviewing, onboarding, and developing Heavy Maintenance personnel. • Build a strong team culture based on accountability, teamwork, professionalism, and continuous improvement. • Recognize high-performing employees and assist the Regional Heavy Maintenance Manager with succession planning and employee development. • Ensure personnel are properly trained and qualified for the work they are assigned.Â
Scheduling & Resource Management
Coordinate daily and weekly manpower requirements based on project schedules and workload. • Work closely with the Regional Heavy Maintenance Manager to identify manpower shortages, excess capacity, and resource needs. • Coordinate equipment and vehicle utilization to maximize productivity and minimize unnecessary costs. • Assist with scheduling subcontractors, material deliveries, inspections, and other project requirements. • Communicate schedule changes, delays, manpower concerns, and resource requirements to the Regional Heavy Maintenance Manager. • Help maintain an accurate view of current workload, upcoming work, and available field resources.Â
Customer Service & Business Development
Develop and maintain strong working relationships with customers, site personnel, vendors, and subcontractors. • Serve as a professional point of contact for customers regarding active Heavy Maintenance work. • Respond promptly to customer concerns and work to resolve issues while protecting the company's interests. • Identify additional Heavy Maintenance opportunities while working at customer locations. • Communicate potential sales opportunities to the Regional Heavy Maintenance Manager and Sales team. • Assist with customer site visits, surveys, scope development, and estimating when requested. • Support the Regional Heavy Maintenance Manager in expanding Heavy Maintenance services within existing and new accounts.Â
Estimating & Project Support • Assist with site surveys and development of project scopes. • Provide technical field input for estimates and proposals. • Review project scopes and drawings to identify potential field challenges, exclusions, and additional requirements. • Assist Project Managers and Estimators with labor, equipment, material, and subcontractor requirements. • Review completed work to ensure the field execution matches the approved scope. • Identify and communicate potential change-order opportunities. • Assist with documenting additional work and supporting change-order requests.Â
Financial & Performance Management
Monitor labor hours, material usage, equipment costs, and other job-related expenses. • Maintain awareness of project budgets and identify potential cost overruns. • Review labor efficiency and productivity and implement corrective actions when necessary. • Support accurate job costing and timely reporting. • Work with the Regional Heavy Maintenance Manager to improve gross profit, labor utilization, and overall operational efficiency. • Monitor operational KPIs applicable to the assigned area and communicate results to regional leadership. • Maintain accountability for productivity and responsible use of company resources.Â
Communication & Administration
Maintain regular communication with the Regional Heavy Maintenance Manager regarding operations, staffing, customers, safety, project status, and performance. • Provide timely updates on significant project issues, customer concerns, safety events, manpower requirements, and financial risks. • Ensure required project documentation, field reports, time records, material records, and closeout documentation are completed accurately and timely. • Participate in operational meetings, project reviews, safety meetings, and other company meetings as required. • Promote consistent Heavy Maintenance processes and procedures throughout the assigned area. • Identify opportunities to streamline processes and improve operational efficiency.Â
QualificationsÂ
5+ years of experience in the petroleum, fueling, or Heavy Maintenance industry. • Significant hands-on field experience with petroleum equipment, fueling systems, and petroleum infrastructure. • Previous supervisory or management experience leading field personnel. • Strong understanding of: o Compliance repairs o Sump repairs of Spill containment systems o Fuel system maintenance o Petroleum equipment and infrastructure o Environmental requirements o Concrete and related petroleum maintenance activities • Ability to read and understand project plans, specifications, and scopes of work. • Strong organizational and planning skills. • Ability to manage multiple projects, crews, and priorities in a fast-paced environment. • Strong problem-solving and decision-making skills. • Excellent communication and leadership abilities. • Strong customer service skills. • Basic understanding of job costing, labor management, budgets, and profitability. • Ability to travel within the assigned operating area as needed. • Valid driver's license with an acceptable driving record.Â
Preferred Qualifications
 Experience managing Heavy Maintenance operations in the petroleum or fueling industry. • Knowledge of EPA, SPCC, UST, and applicable state environmental regulations. • Experience with petroleum compliance repairs and fueling system maintenance. • Experience with estimating, project management, or construction operations. • Experience managing multiple field crews or locations. • Relevant petroleum equipment or manufacturer certifications. • Experience using construction/project management and timekeeping systems.Â
