Description:

Coordinator - Imaging Results Center

Department: Radiology Administration

POSITION PURPOSE

The Coordinator of the Image Results Center (IRC) performs a wide range of clerical, technical, and coordination duties within the Radiology Department. Responsibilities include PACS data management, radiology report quality assurance, communication between radiologists and transcription services, patient support, image distribution, and process improvement. This role functions as a key liaison between radiologists, hospital departments, transcription services (e.g., NUANCE), and external parties to ensure timely, accurate delivery of imaging services and reports.

What the Coordinator - Imaging Results Center will do

  • Process imaging requisitions, scan and digitize documents/images into PACS.

  • Edit PACS entries, push/pull studies between systems, merge and correct imaging records.

  • Create/import/export images on CD/DVD; assist physicians and patients with image requests.

  • Resolve image QA issues; maintain PACS database; retrieve and route prior studies.

  • Assist with contrast distribution and allergy screening for oral CT contrast.

  • Monitor system reports and error logs; assist with ICD-10 compliance and charge reconciliation.

  • Assist patients with paperwork and gowning, escort patients from central registration.

  • Perform general clerical tasks (filing, answering phones, scheduling support, inventory management).

  • Maintain image/report turnaround efficiency through system monitoring and prioritization.

  • Act as liaison between radiologists and NUANCE transcription services.

  • Review and edit medical dictation for accuracy, consistency, and compliance with formatting/style guidelines.

  • Track and report data on transcription quality and self-editing statistics.

  • Use reference tools to validate transcription content and flag discrepancies for review.

  • Run and analyze system reports to ensure timely report distribution and mitigate delays.

  • Perform report QA audits and maintain high accuracy standards (99%+ editing accuracy required).

  • Interface with radiologists, physicians, nurses, and hospital staff to relay exam findings and resolve issues.

  • Provide support during on-call hours and assist in orienting new staff or off-shift radiologists. Respond to internal and external requests for images or results, ensuring proper authorization and documentation.

  • Participate in process improvement efforts and provide feedback to leadership.

  • Receive and greet patients, staff, and visitors; maintain a clean and organized work environment.

  • Prioritize exams based on urgency, support radiologists with workflow optimization.

  • Demonstrate excellent listening, communication, and documentation skills.

  • Performs other duties as assigned.

REQUIRED EDUCATION, EXPERIENCE AND CERTIFICATION/LICENSURE

Education:   

  • High school graduation or equivalent

  • Associates Degreed preferred or 5 years of experience in a Radiology department or progressive growth within Image Results Center (IRC)

Experience: 

Five years of professional work experience required such as:

Participation in workflow process enhancements

Team lead or leading process improvements

Two years’ administrative work in a clinical setting experience preferred
