This is an on-site position and is not eligible for remote work.
Basic PurposeĀ
Positions in this job family are assigned responsibilities for performing confidential secretarial duties forĀ an agency official or administrator.Ā
Ā
Typical FunctionsĀ
Opens,Ā scansĀ or reads and distributes mail; composes official correspondence for supervisorāsĀ signature, disposes of routine correspondence.Ā
Screens telephone calls; provides information or refers callers toĀ appropriate staffĀ members;Ā answers inquiries.Ā
Receives visitors; answers inquiries personally or refers toĀ appropriate official.Ā
Arranges for special conferences and meetings;Ā maintainsĀ supervisorās calendar,Ā advising ofĀ commitments; arranges for travel itinerary and accommodations; prepares andĀ submitsĀ travelĀ claims and expense account.Ā
IndependentlyĀ researches, assembles and summarizes material, information and data forĀ administrative board or commission consideration and action; takes and transcribes dictation ofĀ confidential,Ā technicalĀ or legal material requiring a high degree of accuracy; records andĀ transcribesĀ proceedings of meetings and conferences.Ā
Appears before legislative committee hearings either alone or in the company of supervisor toĀ present facts relative to agency programs, mission and/or budget; drafts proposed legislation;Ā proposes budget items; confers with administrators on matters of staffing, budget and purchasingĀ and contracts and/or policy.Ā
Supervises administrative or clerical assistants.Ā

Knowledge, Skills, Abilities and CompetenciesĀ
Knowledge, Skills, and AbilitiesĀ requiredĀ at this level include knowledge of the procedures andĀ techniques of business communications; of spelling, punctuation, and business English; of officeĀ methods; of computer operations; of business arithmetic; and of public relations.Ā Ā

SkillĀ isĀ required toĀ type accurately from a plain copy at a rate of forty words per minute.Ā
Ā
Ability isĀ requiredĀ to handle confidential work with tact and discretion; to exercise judgment in interpretingĀ and applying rules or policy; and toĀ establishĀ and maintain working relationships withĀ others.Ā Ā
Education and ExperienceĀ
Education and Experience requirements at this level consist of three years of clerical office work; or an equivalent combination of education and experience.Ā
