The Sales Coordinator plays a crucial role in supporting the sales team by managing administrative tasks and facilitating smooth communication with clients and staff. Our hotel operates 24/7, and team members must be flexible and ready to adapt their schedules based on business demands.
Key Responsibilities:
- Client Communication:Answer phones and emails, proactively following up with group and corporate clients until contact isestablished.
- Group Management:Book groups,maintaincorrespondence, check in weekday morning groups, andassistwith any needs throughout the morning.
- Event Coordination:Maintainthe master events schedule to ensure all upcoming events are properly documented and organized.
- Database Management:Develop and manage all sales databases, ensuring they are updated accurately and efficiently.
- Office Administration:Ensure smooth office operations and administration, providingsupport to the sales department as needed.
- Guest Reception:Welcome gueststothe sales office and address general inquiries promptly, extending beyond the capabilities of the voicemail system.
- ReportingSupport:Provide word processingsupport to Sales Managers for special reports and presentations asrequired.
- Document Coordination:Coordinate all credit card authorization forms, rooming lists, group arrival details, direct bill applications, and tax-exempt forms.
- Account Research:Assistthe sales team by researching and prospecting new accounts for potential business opportunities.
- SchedulingSupport:Help schedule new client visits for sales representatives and arrange travel accommodations when necessary.
- Contract Preparation:Prepare and type contracts for client agreements.
- Site Tours:Conduct site tours for potential clients,showcasingthe hotel’s offerings and facilities.
- Market Research:Conduct internet market research toidentifypotential leads and opportunities.
- Sales Outreach:Make sales calls and send out sales kits and brochures to prospective clients.
Qualifications:
- Previousexperience inhospitality in roles like guest services, reservations orsales, and/or customer service isrequired.
- Proficient in computer programs including Microsoft Word, Outlook, Excel, and PowerPoint.
- Strong communicationand interpersonal skills,demonstratingdiplomacy, tact, and a customer-focused approach.
- Professional phone manner with the ability to interact effectively with staff, guests, the media, high-profile clients, and external parties in both Spanish and English.
- Exceptional organizational and time management skills, with proven ability to prioritize and manage multiple tasks, projects, and deadlines effectively.
- Fully bilingual in Spanish and English tofacilitatecommunication with a diverse clientele.
