Program Description

The Communications Department drives content creation for over 70+ diverse programs, delivering high-quality materials across multiple platforms. From printed collateral such as brochures and flyers to digital web and social media content. Our team also manages photoshoots, video production, and exciting events. We produce engaging newsletters and presentations ensuring consistent and impactful messaging to effectively support each program's unique needs. 

 

Job Description

Felton Institute is seeking an experienced and versatile Marketing Project Manager to support the organization’s growing communications and community engagement efforts. This role plays a key part in managing workflow across teams and the Communications department. 

Reporting to the Director of Marketing & Communications, the Marketing Project Manager will contribute to high-quality messaging across digital, print, and public platforms, while helping ensure the organization’s brand voice remains consistent and impactful. The ideal candidate is organized, detail-oriented, a creative thinker, and thrives in a collaborative, mission-driven environment.

 

Specific Responsibilities

 

Marketing & Communications Project Management (60%)

  • Own and manage the full lifecycle of marketing and communications projects from intake to launch. 
  • Develop and maintain project timelines and workflows, and utilize task tracking systems (Monday.com or similar). 
  • Oversee the development of marketing materials by collaborating with the Communications team and the Director of Marketing & Communications. 
  • Conduct thorough proofing and quality control review of all print and public-facing materials prior to submission for approval. 
  • Manage coordination between Communications, Directors, Executive Leadership, and external partners. 
  • Coordinate with vendors to manage the ordering of print materials. 
  • Lead project meetings and document action items to ensure success across stakeholders. 
  • Manage external events in partnership with program teams and leadership, overseeing logistics, deliverables, and post-event debrief documentation. t.

Administrative Support (20%) 

  • Manage onboarding of new department staff in collaboration with the Director of Marketing & Communications, helping set a strong foundation for team success. 
  • Maintain and optimize shared content systems, editorial calendars, and workflows to ensure department efficiency. 
  • Manage and segment e-mail distribution lists for targeted outreach and audience engagement. 
  • Conduct ongoing research to support content accuracy and organizational initiatives. 
  • Submit department invoices promptly.
  • Provide proactive support to the Communications department by anticipating needs and supporting workflow. 

Marketing Campaign Coordination (20%) 

  • Partner with the Director of Marketing & Communications to translate organizational priorities into actionable marketing plans. 
  • Support the development of written content across platforms, including newsletter articles, brochures, website copy, reports, talking points, and impact stories. 
  • Research and identify media opportunities, including awards, speaking engagements, podcast interviews, etc., and flag opportunities for Felton leaders. 
  • Research and recommend partnership opportunities with aligned organizations, businesses, or influencers to cross-promote. 
  • Identify and pitch compelling stories to media outlets with support of the  Director of Marketing & Communications. 
  • Draft polished press releases and media statements that reflect key milestones, announcements, and organizational impact. 
  • Manage press outreach tracking by logging pitches, coverage, and follow-ups so media relations are proactive. 
  • Conduct thorough research, fact-checking information for accuracy and credibility. 

Minimum Qualification

  • Bachelor’s Level Degree in Communications, Journalism, Public Relations, or related field.  
  • Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint) 
  • Experience with graphic design tools (e.g., Adobe Illustrator, Canva, etc.) 
  • 4-6 years of professional experience in marketing, communications, journalism, or a related field. 
  • Exceptional writing and editing skills; portfolio or writing samples preferred. 
  • Close attention to detail, with a strong track record of accurate deliverables. 
  • Experience managing cross-functional marketing projects from start to finish. 
  • Understanding of media relations, storytelling strategy, and nonprofit brand alignment. 
  • Familiarity with a fast-paced office environment. 
  • Comfortable managing a high volume of short-cycle projects alongside long-term work. 
  • Organized and deadline-driven. 
  • Demonstrated ability to work in a collaborative environment. 
  • Excellent critical thinking and the ability to exercise good judgment and solve problems quickly and effectively.  
  • Must have a valid driver’s license and be willing to occasionally travel to various Bay Area program locations to fulfill job responsibilities.  
  • Experience working in customer relations preferred.

Work Schedule: Hybrid

FLSA Status: Exempt

Salary Range: $70,000 - $85,000 annually (DOE)
